Role Overview
This is a varied and hands-on role that touches nearly every part of the business. Your primary focus will be to ensure the smooth day-to-day operation of the office and internal systems, followed by maintaining excellent relationships and workflows with our clients. You’ll also support the Director with executive-level assistance, provide project coordination support to the wider team, and help manage HR and some finance tasks.
Key Responsibilities
Office & Operations Management
Ensure smooth daily running of the office, systems, and admin processes
Act as the go-to person for internal operations and team coordination
Maintain documentation, IT tools, and workflows that support efficiency
Monitor company inboxes, general enquiries, and routing of internal tasks
Support compliance, supplier relationships, subscriptions, and office resources
Client & CRM Management
Oversee and maintain the CRM system, ensuring accurate client data
Track client projects, contracts, and key dates for proactive engagement
Help ensure excellent communication and service delivery throughout the client lifecycle
Coordinate with the Director and delivery teams to support account management
Executive Assistance (PA/EA Support)
Provide direct support to the Director including:
Diary management and scheduling
Email prioritisation and inbox support
Travel and meeting coordination
Assist with preparing reports, documents, and presentations
Project Coordination
Support the tracking of ongoing projects, milestones, and deadlines
Coordinate tasks with internal team members and ensure clarity of responsibilities
Follow up on deliverables and update relevant tools/documentation
Act as a central communication point for internal project-related matters
Human Resources Support
Assist with recruitment processes, from advertising to interview coordination
Manage onboarding processes and maintain staff records
Track reviews, probation periods, and basic HR compliance (holiday/sick leave, contracts)
Coordinate team events, reviews, and feedback processes
Finance & Admin Support
Raise and send invoices to clients
Track invoice payments and assist with credit control
Process supplier invoices and expenses
Payroll & pension contributions
About You
We’re looking for someone who is:
Experienced in office management, operations or a similar role
Highly organised and structured, with excellent attention to detail
Personable, professional, and confident communicating at all levels
A proactive problem-solver who is not afraid to take initiative
Tech-savvy: confident using CRMs, digital tools, and ideally finance/project platforms
Desirable but not essential:
Familiarity or interest in vehicles/automotive data
Experience with tools like QuickBooks, Jira, Trello or similar
Background in an SME/scaling business environment

Daily Responsibilities:
Design, update, and maintain website layouts, pages, and user interfaces.
Collaborate with developers, content creators, and marketing teams to ensure brand consistency and user-friendly design.
Use design tools (e.g., Adobe XD, Figma, Sketch) to create wireframes, mockups, and prototypes.
Optimize websites for speed, performance, and SEO best practices.
Troubleshoot and resolve website issues, bugs, and design-related problems.
Conduct daily checks on live websites for functionality and responsiveness.
Incorporate client or stakeholder feedback into designs.
Monthly Responsibilities:
Review and refresh website content and design elements to ensure relevance and visual appeal.
Analyze website traffic, user behavior, and engagement metrics to guide design improvements.
Test websites across multiple browsers, platforms, and devices for consistent user experience.
Stay updated with the latest web design trends, tools, and best practices.
Create or update design assets for web campaigns, promotions, or new product launches.
Participate in strategy meetings to plan upcoming design needs and projects.
